Sortza is designed for tradespeople and small service businesses and provides tools for managing customers, jobs, quotes, invoices, payment tracking and related business administration.

Who we are

Sortza is operated by Sortza Limited, a company incorporated in Jersey, Channel Islands, with company registration number  167537 and registered office at 9 Croydon Mews Bellozanne Road, Je2 3Jy.

Sortza provides an AI-assisted paperwork service for tradespeople and small service businesses, helping them manage customers, jobs, quotes, invoices, payment tracking and related business administration.

References to “Sortza”, “we”, “us” and “our” in this Privacy Policy mean Sortza Limited. Our responsibilities as a data controller and data processor are explained in the “Our role when processing data” section below.

For questions about this Privacy Policy or how we handle personal data, or to exercise your data-protection rights, contact privacy@sortza.co.uk. You can also write to us at our registered-office address above.

Information we collect

We may collect information you provide when creating or using a Sortza account, including your name, email address, business details and account information. When you use Sortza, you may also enter information about your customers, jobs, quotes, invoices, payments, notes and communications. We may collect technical and usage information needed to operate, secure and improve the service.

How we use your information

We use personal data to provide and operate Sortza, create and manage accounts, process requested business actions, generate and manage quotes and invoices, provide AI-assisted features, deliver customer communications when you approve them, manage subscriptions and payments, provide support, maintain security, prevent misuse and improve the reliability of the service.

AI and service providers

Sortza uses trusted service providers to operate the service, including providers for hosting, artificial intelligence, payments and email delivery. Information may be processed by these providers only where necessary to provide their services to Sortza. Where you use Tell Sortza, the information you provide may be processed by AI services to understand your request and help perform the action you have asked for.

Your rights and contacting us

You have rights over your personal data under Jersey data protection law, including rights to access and correct your information and, in certain circumstances, to request deletion, restriction or portability, or to object to processing. You may also have the right to withdraw consent where processing relies on consent. To exercise your rights or ask a privacy question, contact us at privacy@sortza.co.uk. You also have the right to raise a concern with the Jersey Office of the Information Commissioner.

Our role when processing data

When you provide your own account, business, billing or support information to Sortza, we generally process that information as a data controller. When you use Sortza to store or manage personal data about your customers or other individuals on behalf of your business, your business is generally the data controller and Sortza processes that data on your instructions as a data processor. You are responsible for ensuring that you have an appropriate lawful basis for the personal data you enter into Sortza.

Legal bases for processing

We process personal data only where we have a lawful basis to do so. Depending on the circumstances, this may include performing our contract with you, complying with legal obligations, pursuing our legitimate interests in operating, securing and improving Sortza, or obtaining your consent where consent is required. Where we process personal data on behalf of a Sortza customer, we do so on that customer's instructions and in accordance with our agreement with them.

How long we keep your information

We keep personal data only for as long as necessary for the purposes for which it was collected, including providing the Sortza service, maintaining appropriate business and security records, and meeting legal, accounting or regulatory requirements. Retention periods may vary depending on the type of information and why we process it. When personal data is no longer required, we will delete or anonymise it where appropriate.

International data transfers

Some of the service providers we use may process personal data outside Jersey. Where personal data is transferred internationally, we take appropriate steps to ensure it receives protection in accordance with applicable Jersey data protection law, including using recognised safeguards where required.

Security and data breaches

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration or disclosure. We also require service providers processing personal data for Sortza to maintain appropriate safeguards. If a personal data breach occurs, we will assess it and take the actions required under applicable data protection law, including notifying the Jersey Office of the Information Commissioner and affected individuals where required.

Account deletion and changes to this policy

You may request deletion of your Sortza account and associated personal data by emailing support@sortza.co.uk. We may need to verify your identity before completing your request. Information that must be retained, and the reasons for retaining it, are explained in this Privacy Policy and our Account Deletion information.

We may update this Privacy Policy as Sortza develops or legal requirements change. We will communicate material changes where appropriate and publish the current version on our website with its last-updated date.

By creating an account or using Sortza, you agree to these Terms. If you use Sortza on behalf of a business, you confirm that you have authority to accept these Terms on its behalf. If you do not agree to these Terms, you should not use the service.

For questions about these Terms or the service, contact support@sortza.co.uk.service.

Your Sortza account

You are responsible for keeping your account information accurate and your login details secure. You must not allow unauthorised access to your account and should tell us promptly if you believe your account has been compromised.

Acceptable use

You must use Sortza lawfully and responsibly. You must not misuse the service, attempt to gain unauthorised access, interfere with its operation, upload unlawful or harmful content, or use Sortza in a way that infringes the rights of others.

Quotes, invoices and business information

You are responsible for reviewing the information, prices, tax details and other business content created, entered or generated through Sortza before relying on it or sending it to a customer. Sortza helps you manage business administration, but you remain responsible for your business decisions and the accuracy of information you provide.

AI-assisted features

Sortza may use artificial intelligence to understand your requests and help prepare business actions or information. AI-generated output may not always be accurate or complete, so you are responsible for reviewing important information before relying on it. Actions involving customer communications require your approval before they are sent.

Subscriptions and payments

Access to paid Sortza services may require an active subscription. Subscription prices, trial periods and applicable charges will be shown before you subscribe. Payments and subscription management may be handled by third-party payment providers. You are responsible for keeping your payment information up to date.

Cancellation and account deletion

You may cancel your Sortza subscription in accordance with the options available through the service or the platform through which you subscribed. Cancelling a subscription stops future renewals but does not automatically delete your account. You may separately request deletion of your Sortza account and associated personal data, subject to information we may need to retain for legal, regulatory, security or legitimate business purposes.

Availability and changes to Sortza

We aim to keep Sortza available and reliable, but we do not guarantee that the service will always be available without interruption or error. We may update, improve, modify or discontinue parts of the service where reasonably necessary, including for security, legal, technical or product reasons.

Your data and content

You retain responsibility for the business and customer information you enter into Sortza. You give Sortza permission to process that information only as necessary to provide, secure and improve the service and as otherwise described in our Privacy Policy. We do not claim ownership of your customer or business data.

Intellectual property

Sortza and its software, design, branding, features and other service content are owned by or licensed to Sortza and are protected by applicable intellectual property laws. These Terms give you the right to use the service while your access is permitted; they do not transfer ownership of Sortza or its intellectual property to you.

Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so. To the extent permitted by law, Sortza is not responsible for indirect or consequential losses, loss of profits, business opportunities or data arising from your use of the service. You remain responsible for reviewing important business information and decisions made using Sortza.

Governing law and contact

These Terms are governed by the laws of Jersey, Channel Islands, and disputes relating to these Terms will be subject to the jurisdiction of the Jersey courts, subject to any rights you may have under applicable consumer law. If you have questions about these Terms or Sortza, contact us at support@sortza.co.uk.

Account Deletion

How to request account deletion

To request deletion of your Sortza account and associated personal data, email support@sortza.co.uk from the email address linked to your account. If you cannot access that email address, contact us for help. We may need to verify your identity before processing your request.

What happens when your account is deleted

When your deletion request is completed, your Sortza account will be closed and personal data associated with the account will be deleted or anonymised, except where we are required or permitted to retain certain information for legal, regulatory, security or legitimate business purposes.

Before you delete your account

Account deletion is permanent. Before requesting deletion, you should download or retain any quotes, invoices, customer records or other business information that you need to keep. Once deletion has been completed, information that has been permanently deleted may not be recoverable.

Subscriptions and account deletion

Deleting your Sortza account does not necessarily cancel a subscription managed through a third-party platform or app store. You should cancel any active subscription through the platform where you purchased it before deleting your account to prevent future renewal charges.

Information we may retain

We may retain limited information after account deletion where necessary to comply with legal, tax, accounting or regulatory obligations, resolve disputes, prevent fraud or misuse, enforce our agreements, or maintain appropriate security records. Any information retained will only be kept for as long as necessary for those purposes.

Need help deleting your account?

If you cannot access the account deletion option or need help with a deletion request, contact us at support@sortza.co.uk. We may need to verify your identity before processing a request to help protect your account and personal information.
